Executive Board Job Descriptions

 

 

President: Direct the affairs of the Association in cooperation with the other members of the Executive Board. Coordinate with school administration in all PTA affairs. Conduct Executive Board and general meetings. Serve as ex-officio member of all committees.  Represent Bonita Canyon at monthly IUCPTA (Irvine Unified Council PTA) meetings.  Communicate events and information to the Executive Board and ensure that communications are properly relayed to Bonita Canyon staff and families.

Vice President-Ways and Means: Develop a fundraising plan based on the needs at Bonita Canyon determined jointly by school administration and the Executive Board. Oversee all activities related to the Fall Pledge Drive, the Spring Fundraiser and other fundraising efforts. Provide customer support to families with questions relating to fundraisers. Coordinate the volunteer effort necessary to complete the fundraising plan.  Oversee the following PTA Committees:

  • Book Fair
  • BC Community Partners
  • Directory Advertising
  • Fall Pledge Drive
  • Spirit Wear
  • Spring Fundraiser
  • Yearbook

Vice President-Membership: Cultivate membership in the PTA. Provide ample opportunities for families to understand the benefits of PTA membership and to join. Maintain membership records. Handle administrative duties, which include reporting membership numbers and data to Fourth District PTA. Organize all PTA Association meetings, speakers, and room set up.  Oversee the following PTA Committees:

  • Directory
  • Emergency Preparedness
  • IPSF Ambassador
  • Education Advocacy
  • Picture Day
  • Room Parents
  • Pizza Parent
  • Staff Appreciation Luncheon
  • Teacher Appreciation Week

Vice President-Curriculum: Coordinate and oversee the following committees and programs sponsored/assisted by the PTA:

  • BC Connections
  • Community Outreach
  • Fall Social
  • Flag Football Tournament
  • Field Day
  • Harvest Cup Soccer Tournament
  • Hoops Classic Basketball Tournament

Treasurer: Responsible for maintaining financial records of the PTA and filing related IRS documents. Assist in financial aspect of activities that involve revenue.  Oversee the budget process and present the budget for adoption by the Executive Board and Association.  Prepare all financial reports, pay all authorized bills, and present monthly financial reports at the monthly Executive Board meetings and each Association meeting.  Prepare and present a year end financial summary for the Executive Board and the Association.  Submit the year end financial summary to IUCPTA.

Financial Secretary: Deposit all monies received by the PTA, keep accurate records of all deposits for filing with the Treasurer’s financial records.   Prepare a monthly deposit detail report with a summary of all of the monthly deposits.

Auditor Audit the books and financial records of the PTA semi-annually.  Prepare and present a written audit report to the Executive Board.  Present the audit report for adoption by the Association in the months stipulated in the bylaws.  Submit the written reports to IUCPTA.

Recording Secretary Attend and keep an accurate written record of the proceedings of all meetings of the Association and the Executive Board in a bound book, which is the legal record of the PTA. Perform such other duties as may be delegated.

Historian:  Assemble and preserve records of activities and achievements of the PTA.  Organize the volunteer data and communicate information with the appropriate committees. Collect and tally volunteer hours monthly and submit the Annual Unit Historian Report at the end of the year to IUCPTA.

Parliamentarian: 
Assist the president when questions of procedure arise. Parliamentary law is an orderly set of rules for conducting meetings of organized groups for the purpose of accomplishing their goals fairly.

  • Offer advice on parliamentary procedures and PTA bylaws.
  • Chair the bylaws committee and helps make revisions to the bylaws as necessary.
  • Chairs the meetings of the nominating committee after helping to form the nominating committee.
  • Organize incoming committee chairs and communicate with them about their responsibilities on the PTA.

Corresponding Secretary: Write correspondence letters and notes as directed by the PTA Executive Board.
